Sage Recovery & Wellness Center is a fast growing outpatient mental health center for adults and adolescents struggling with mental health, alcohol and/or substance abuse; offering individual counseling, couples & family counseling, yoga, acupuncture detoxification, group therapy and intensive outpatient group therapy programs. Sage is located in Austin, TX approximately one mile west of the Capital of Texas Highway on Bee Caves Rd. in Westlake.
Description: Supports company operations by maintaining the front desk operations and assisting the office manager.
Duties & Responsibilities Include:
Greets clients either in person, or by the phone; answering inquiries and scheduling appointments.
Keeps client appointments on schedule by notifying provider of their arrival and reminding providers of service delays.
Assists office manager in calling insurance companies for benefit information and documenting coverage in client’s file.
Maintains business office inventory and equipment by checking stock to determine inventory level; anticipating needed supplies; placing and expediting orders for supplies; verifying receipt of supplies; scheduling equipment service and repairs. Maintains office efficiency by planning and implementing office systems, layouts, and equipment procurement.
Maintains record of referral sources and writes and sends thank you notes to referral sources.
Directs visitors by maintaining employee and department directories; giving instructions.
Maintains security by following procedures;
Maintains telecommunication system by following manufacturer’s instructions for house phone and console operation.
Maintains safe and clean reception area by complying with procedures, rules, and regulations.
Ensures client lounge and waiting room are clean, organized and supplies are ready available.
Maintains continuity among work teams by documenting and communicating actions, irregularities, and continuing needs.
Prints, prepares and mails client invoices.
Assists therapists in maintaining organized client electronic charts, ensuring all necessary documentation is available in charts.
Ensures all necessary paperwork is stocked in the therapist’s offices and makes more copies as needed.
Prepares paperwork for client’s first day
Makes follow up phone calls to graduated and discharged clients and reminder phone calls
Requests and sends medical records to outside providers.
Processes encounters and posts payment in EMR system.
Assists the office in mailing marketing material, thank you cards, client forms/letters and other necessary items.
Orders food and beverages for special events.
Assists coordination for on-site events by ordering necessary supplies and assisting with day-of set up.
Completing closing duties: ensuring the space is safe and secure and all closing processes are completed.
Other administrative duties as assigned.

Qualifications & Education:
High School Degree or equivalent
Proficient in Microsoft Excel and Word
Minimum 1-year medical receptionist experience required

Hours & Compensation: This is a full-time hourly position. Occasional flexibility in schedule is helpful to help with coverage.
